A handyman visit is rarely one job. You came to fix a leaking tap, then rehung a door, replaced two sockets and sealed a window. Rolling all of that into "general repairs" makes the invoice look arbitrary and gives the client nothing to check against.
Give each task its own line with the room or location, so the client can walk the house with the invoice in hand. Small, specific lines also protect you: if a client later says the socket was never replaced, the line item and its photo settle it.
- Name the room or location in every description ("kitchen tap", "upstairs landing door")
- Keep a callout or minimum charge as its own visible line rather than hiding it in the first task
- Bill parts separately from labour so a client can see what they own versus what they paid you to do
- Note anything you inspected but did not fix, and why, in the notes field
Callout fees, minimum charges and part hours
Most handyman pricing has a floor: a callout fee, a first-hour minimum, or both. Say which one applies on the invoice itself, because a client who was quoted "£45 an hour" and sees £75 for a 40-minute job will assume a mistake.
Decide how you round part hours — to the next 15 minutes, half hour, or full hour — and state it in your terms. Consistency matters more than the specific rule you pick.
For repeat domestic clients, a short line in the notes reminding them of your rate structure prevents the same conversation every visit.
Getting paid on the doorstep
Handyman work is one of the few trades where payment on completion is normal, so make it effortless. Export the PDF before you leave, show it on your phone, and have your bank details and any payment link on the invoice itself.
If the client wants to pay later, set a short due date — seven days is typical for domestic work — and make sure the invoice reaches an email address they actually read, not one they gave you at the door and never check.

Yes. Showing the callout or minimum charge as its own line makes the total add up in the client's head. Burying it inside the first task's price is the fastest way to get a "why is this so expensive?" message that evening.
How do I charge for parts I bought on the way?
List each part as its own line with the quantity and unit price. If you add a handling markup, either state the percentage or fold it into the unit price consistently across all jobs, and keep the receipts for your own records.
Do I need to attach photos to a handyman invoice?
Not always, but they help on anything hidden or disputed — a repair inside a cupboard, a sealed joint, or work in a rental property where the paying landlord never sees the result. Attaching the photo to the specific line item is far clearer than sending images separately.
