Small Business Invoicing: Process, Records and Cash Flow

Once more than one person can create an invoice, invoicing stops being a document problem and becomes a process problem. This guide covers the routine that keeps a small business paid on time without accounting software.

Fix a billing rhythm

Ad hoc invoicing is the single biggest cause of cash flow gaps in small businesses. Pick a rhythm and hold it: invoice on completion for project work, and on a fixed date for recurring work.

A twice-monthly cycle, for example the 1st and 16th, halves the average delay between finishing work and issuing the bill compared with monthly billing, without doubling the admin.

Keep one register of everything issued

Whatever tool creates the invoice, maintain a single register with these columns. A spreadsheet is enough.

Track ageing, not just totals

Sort unpaid invoices into buckets: current, 1-30 days late, 31-60, and 60 plus. The buckets tell you where to spend chasing effort and which clients need tighter terms or an upfront deposit next time.

A client who is consistently in the 31-60 bucket is financing their business with your money. Shorten their terms or ask for partial payment upfront.

Reduce disputes before they happen

  • Get written approval of the quote and keep the reference on the invoice.
  • Invoice the legal entity named in the contract, not the trading name.
  • Attach photographic or delivery proof for physical work.
  • Send to a named accounts contact as well as your day-to-day contact.
  • Confirm receipt; an invoice nobody has acknowledged is not yet in the payment queue.

Records and retention

Keep a PDF of every invoice you issue, plus the register, for as long as your local tax authority requires. Many jurisdictions expect between five and eight years.
